Goodbye Data Silos: How UNO Is Streamlining Data with ChatGPT
The Systems Intelligence & Data Analytics (SIDA) team at the University of Nebraska at Omaha plays a crucial role in managing the complex systems of the modern university. These systems require continuous planning and assessment to enhance their quality and effectiveness. The SIDA team operates within the Office of Institutional Effectiveness (OIE) Department at the University of Nebraska at Omaha.
Traditionally, data accessibility and documentation have posed challenges such as manually responding to data queries, maintaining updated documentation, and sharing data knowledge, leading to the creation of data silos. Given the significant reliance of various stakeholders at UNO on the reports and data provided by the SIDA team, it became evident that an efficient solution was required.
Utilizing ChatGPT to Streamline Processes
By leveraging a Custom GPT provided through UNO's ChatGPT Enterprise license, the SIDA team has been able to harness artificial intelligence to streamline its processes. The primary objective was to develop a chatbot that could utilize existing data warehouses, reports, and dashboards without reinventing the wheel but rather making knowledge more accessible.
"With numerous requests and responsibilities, we needed a smarter way to manage knowledge and support our campus partners. AI offered a path to achieve more with less and do it more rapidly," expressed the Systems Intelligence & Data Analytics team.
Enhancing Efficiency and Visibility
Collaborating with internal stakeholders, the team proposed creating a generative AI chatbot to familiarize itself with their team, reports, existing dashboards, table structures, and policies. As the SIDA team transforms raw operational data and assessment data into actionable information critical for the university's strategic planning and decision-making, the chatbot needed to provide direct responses to users.
Furthermore, SIDA aims to implement automated documentation for their daily tasks, seek ideas and assistance for automating manual tasks, and enhance the team's visibility within the university. This initiative focuses on improving team efficiency and providing a clearer understanding of their capabilities.
While encountering minor limitations such as file size restrictions and the inability for multiple team members to collaborate on custom GPTs initially, these were subsequently addressed. SIDA has initiated a new RFP to explore and enhance their learning experience by tailoring projects to meet specific needs, creating multiple custom GPTs for various purposes and smaller teams within SIDA.
Future Endeavors and Innovations
Continuously evolving, the team plans to expand the chatbot's functionalities by automating more manual tasks, refining metadata interpretation, and broadening campus-wide usage. Through milestones and the creation of multiple custom GPTs, the SIDA team is pioneering AI-driven efficiency at UNO.
